Report Arrival of G5 Visa Holder and Attend Mandatory Orientation Seminar

Summary

This checklist outlines the steps to be followed when a G-5 domestic worker employed by WBG G4 visa holder first arrives in the US to start employment.

Complete the arrival package including the  through  (only available on Bank's intranet), after the G-5 visa holder arrives at the U.S.

Submit the mandatory documents mentioned in  (only available on Bank's intranet) to HR Operations.

Attention:

The online request should be completed and all required documents should be submitted within 5 calendar days of the G-5 visa holder¡¯s arrival. ľ¹ÏÓ°Ôº Group is obligated to report the event to the U.S. State Department. Failure to submit documentation of arrival within 5 calendar days may result in escalation for breach of signed G-5 Code of Conduct.

Perform these actions:

  • Add the G-5 visa holder's details to the staff member's household record
  • Register the G-5 visa holder with the U.S. State Department
  • Send the staff member an invitation to attend the mandatory G-5 orientation seminar along with the G-5 visa holder

Attention:
If a staff member receives three such invitations and does not attend the seminar, HR Operations will refer the case to the EBC Investigations Unit for review and possible disciplinary action under  and

Attend one G-5 orientation seminar along with the G-5 visa holder.

Attention:
A spouse, even if s/he is also a staff member, cannot attend the G-5 orientation seminar on your behalf.

Both the Bank Group and IMF have strict security procedures for G-5 visa holders attending the orientation:

  • Requests to attend are not accepted after the deadline that is specified on the invitation.
  • The G-5 visa holder must carry a photo ID, preferably a passport, to the orientation to gain entry.
  • Orientation sessions are held quarterly each year.

Complete and retain .

Attention:
Do not file this form with USCIS. You must retain this form either for three years after the date of hire or for one year after employment is terminated, whichever is later. The form must be available for inspection by authorized U.S. Government officials, such as the Department of Homeland Security and Department of Labor.

Obtain mandatory medical insurance for the G-5 visa holder.

Assist the G-5 visa holder in opening a bank account. Refer to Open a Bank Account at BFSFCU for a G-5 Visa Holder.

Attention:
A payslip must be provided to the employee at the time of wage payment noting the hourly wage, overtime wage, the number of hours worked in the pay period and the allowable deductions to fulfill tax and social security obligations.  No other deductions are permitted.

According to a U.S. State Department requirement, within 30 days of commencement of employment, the G-5 visa holder should be paid by check or electronic fund transfer to a bank account in the G-5 visa holder¡¯s name only.

During initial 30-day period, the employee will be given a written receipt for any payments made electronically.  After the first 30 days of employment, no electronic payments will be made to the employee.  All payroll payments must be made via the designated G-5 payroll provider.  No cash payments should be made to the employee.

Retain accurate records of all financial transactions relating to the employment of the G-5 visa holder.

Abide by the  and the contract in all respects during employment of the G-5 visa holder.
