Start Leave Without Pay

Summary

This checklist provides information on how staff can start leave without pay (LWOP).

LWOP may be requested by staff holding regular, open, term, executive director¡¯s advisor, extended-term consultant (ETC), or extended-term temporary (ETT) appointments.

  • Section 06. Leave Without Pay on . Paragraph 6.06 provides information on the benefits that may be continued during LWOP.
If the LWOP duration is less than or equal to 30 days, use the following procedure:

Discuss initiation of LWOP with the manager.

Note:

A manager may delegate the preparation of an action to a drafter. However, any action prepared by a drafter requires manager's approval.

Perform step 3 and 4 only if LWOP has been requested for because the staff member:

  • was absent without authorization.
  • has exhausted his/her annual leave.

Approve the request in A notification is sent to the staff member and the request is routed to the manager¡¯s manager.

Send the LWOP memo electronically to the staff member.

Sign the LWOP memo and follow the instructions in the memo for submission to HR Operations.

If the LWOP duration is greater than 30 days, use the following procedure:

Note:

A manager may delegate the preparation of an action to a drafter. However, any action prepared by a drafter requires manager's approval.

Notifications are sent to the staff member, the VPU¡¯s HR team, and Pension Administration, if the reason for requesting LWOP is:

  • military service.
  • accompaniment of spouse or domestic partner on Bank/IMF assignment.
  • accompaniment of spouse or domestic partner on non-Bank/non-IMF assignment.
  • family leave due to a serious illness of a family member.
  • parental leave to take care of child from birth or adoption.

If the reason for LWOP is study leave, notifications are sent to the staff member, the VPU¡¯s HR team, Pension Administration, and the VPU¡¯s Chief Administrative Office (CAO).

In all cases, the request is routed through HR Operations.

Sign the LWOP memo and follow the instructions in the memo for submission to HR Operations. Forms in the memo must include the decision to waive or continue MIP/MBP and advance proof of payment (using the method indicated on the memo).
